Due to continued growth in our business, we have another exciting opportunity for an experienced Administration Officer to join our Projects team in Mackay on a permanent basis. 

About the role

Reporting to the Lead Projects Coordinator the successful candidate will be responsible for a wide range of administrative functions:

Key responsibilities:

  • Ensure all office administration tasks are completed accurately and in a timely manner to ensure adherence to quality standards, deadlines, company procedures and correcting errors or problems.
  • Assisting the projects team with day to day administrative tasks.
  • Manage invoices and raise purchase orders for applicable outstanding accounts, chasing suppliers for outstanding orders and invoices
  • Collate data from suppliers and manufacturers into QA documents.
  • Creation of job packs for upcoming projects.
  • Maintain spreadsheets to help track current projects.
  • Working with the pulley department to help track orders for existing projects.
  • Assist with raising new projects.
    Contacting suppliers for quotes.
  • Ensure the accurate and timely processing of Accounts (Payable and Receivable) 

The successful candidate will possess:

  • Some previous administrative experience;
  • Must have a strong safety focus;
  • Year 12 or equivalent;
  • High level accuracy and attention to detail as well as proven skills in Microsoft Word and Excel and data entry;
  • Excellent communication skills, with the ability to quickly develop, establish and sustain solid working relationships with internal and external stakeholders;
  • Strong time management and organisational skills;
  • Provide proof of Australian Work Rights; and
  • Ability to pass a pre-employment medical including drug and alcohol screening.
