Due to continued growth in our business, we have another exciting opportunity for an experienced Project Administrator to join our team in Mackay on a permanent basis. 

About the role

Reporting to the Lead Projects Coordinator the successful candidate will be responsible for providing efficient finance administration support to Project Coordination assisting with management of projects and projects delivery.

Key responsibilities of the position will include:

  • Managing business revenue forecasting
  • Monthly invoicing management
  • Raising Milestone invoices
  • Chasing up customer outstanding invoices (e.g. unpaid, paid invoices)
  • Stock management
  • Assisting projects and engineering teams
  • Management of Build To Order (BTO) Jobs 
  • Management of site service projects

The successful candidate will possess:

  • Excellent communication skills, with the ability to quickly develop, establish and sustain solid working relationships with internal and external stakeholders
  • Be organised, with proven experience working in a pressurised environment, delivering to tight deadlines with a high attention to detail paramount to this position.
  • Actively promote safe work behaviours and practices.

Due to operational requirements and the nature of the business, you may be required to work outside the spread of normal hours from time-to-time. 
Selection Criteria:

  • Certificate IV level qualifications in a Business discipline or equivalent.
  • Experience in a clerical/administration role, preferably with a quality management or business process improvement focus
  • Functional knowledge of using appropriate tools and techniques for project finance management in similar industry project scenarios
  • Excellent communication skills, with the ability to quickly develop, establish and sustain solid working relationships with internal and external stakeholders.
  • Proven experience working in a pressurised environment, delivering to tight deadlines.
  • Previous experience with the following programs:
    • SAP, ARIBA, EPICOR (Accounts System)or Similar, Microsoft Office Suite
  • Intermediate to advanced proficiency using the Microsoft Office Suite, particularly Microsoft Word, Project and Excel.
