The Thales Australia Maritime business offers repair, maintenance, engineering and asset management / in-service support capabilities for commercial and naval ships in Australia. You will be joining our Customer Service project team within the Garden Island Defence Precinct, which is the primary operational, repair and maintenance base supporting Royal Australian Navy fleet units.

About Your Role

We have a 9 month Fixed Term opportunity for a switched on Project Administrator to join our team based onsite at HMAS Stirling, Garden Island WA. The main responsibility will be ensuring the smooth running of the office and the Naval Under Water Systems team. This includes the efficient operation (and improvement) of office administrative systems, together with ensuring the maintenance of office infrastructure and consumables.

The Administrator will also be required to manage all correspondence, assist the exchange of financial data between Sydney and Western Australia. They will be responsible for coordinating the production of management reports and any other such reports as deemed necessary.

Key Responsibilities

  • Administer purchasing activity and ensure the necessary exchange of data with central purchasing and finance functions.
  • Maintain correspondence filing system and ensure all incoming and outgoing mail is distributed in a timely manner
  • Ensure project correspondence is copied, distributed, filed and that systems such as actions and correspondence logs are maintained.
  • Attend meetings for the purpose of taking minutes, type official meeting minutes and distribute.
  • As necessary, develop and maintain up to date written procedures for various administrative systems.
  • Coordinate relevant Defence security clearance documentation, Official Passport applications and building passes for team members.
  • Administer purchasing activity and ensure the necessary exchange of data with central purchasing and finance functions
  • Coordinate, book and code travel for ISS Team members.
  • Provide administrative support to the team as required.

How About You?
  • Certificate III in Business (Office Administration) or equivalent tertiary qualifications
  • Previous experience within a similar role supporting an office environment.
  • Proven organisational skills with sound diary management and ability to prioritise.
  • Experience in commercial and financial aspects of business operations
  • Accuracy and attention to detail.
  • Well-developed interpersonal and communications skills
  • Ability to work within a team and autonomously
  • Intermediate MS Office skills
