About the Role

In this role, you will provide high level executive administrative support to the General Manager, Director of Sales & Marketing and Director of Finance.

Main Responsibilities

  • Management of General Manager’s calendar & phone
  • Assisting with draft emails on occasion; and guest feedback responses
  • Sales & Marketing administration including assisting with proposals, contracts and purchase orders
  • Data entry into Envision (sales system) and Lanyon (corporate RFP bid)
  • Take and distribute accurate minutes of monthly Owner Meetings and other adhoc meetings as required that relates to owners or sensitive and time bound topics.
  • Monitor and respond to Medallia surveys – guest feedback
  • Coordinate & manage invitations for entertainment & promotional activities on behalf of GM and DOSM
  • Provide administrative support to the General Manager and Director of Finance as required – however both will manage their own inbox.
  • Admin support as General Manager determines to support major projects of the hotel, not limited to HACCP & CovidSafe plans & meetings; PIP renovation meetings, and distributing actions for all across projects that planned & expected up until March 2022


  • Previous experience a hotel environment, working with senior leaders
  • Experience with Mircroster, Birchstreet, Envision, Lanyon is highly regarded, or similar systems - rosters, procurement, CRM; Opera.
  • Flexibility around working days and hours as required by the business with reasonable overtime on occasion.
  • High level of both written and verbal communication, maturity working at the highest level of the organisation.
  • Ability to work to tight deadlines at all times.
