JOB DESCRIPTION

RPS has an exciting new fixed-term opportunity for a pro-active, intuitive, and efficient Executive Assistant to provide support to the Chief Executive Officer, Chief Financial Officer and Company Secretary in our Fortitude Valley office.

The successful candidate will have a friendly disposition, a genuine interest in the business and the ability to foresee areas where they can add value and remove or eliminate unnecessary duties or distractions and provide general support where required.

Key responsibilities

  • Manage diaries and travel to ensure there are no conflicting commitments, meetings are arranged or rescheduled with as little disruption as possible to all parties, with all facilities booked.
  • Coordinate and attend executive and finance management meetings. Take minutes and distribute post meeting and follow up on action items.
  • Coordinate and draft all relevant reports and board papers.
  • Prepare draft presentations and team communications, ensuring the documents look professional and read well, for the executive’s review.
  • Work closely with the executive team to develop appropriate systems, policies and procedures to enable coordinated communication and information sharing across the business.
  • Provide a full range of administrative support services, such as credit card reconciliation, processing expense claims and CAPEX, handling all incoming calls and correspondence, filing and records management, mail, photocopying and compiling reports.
  • Support executives in building a positive and collaborative company culture through the facilitation of our CSR Forum.
  • Other duties as directed.

Qualifications

  • Minimum 3 years’ experience providing administrative and executive support at a senior level, preferably supporting two or more people at a time.
  • Demonstrate high levels of initiative and be able to work autonomously with little direction.
  • Demonstrated ability to build strong working relationships with a wide variety of people.
  • Excellent time management skills with the ability to manage multiple tasks and deadlines.
  • Understand need for discretion when dealing with confidential matters, demonstrate honesty in all dealings and comply with all internal policies.
  • Advanced skills in software applications including the Office 365.
