This is a phenomenal opportunity for a highly efficient and talented Executive Assistant to support one the southern Gold Coast’s leading agents who heads the sales team in this innovative and very well respected real estate business.

Located in the heart of Burleigh Heads, you will be working out of a modern office for an award winning business at the forefront of the industry.

This role will see you working in a high performance environment where you will be keeping up with this high energy, busy paced and heavy listing inventory. As their right hand person, you will be their eyes and ears, and play a critical role in the business, managing upwards to ensure that they're on track and on time, and has every document they need to do their job. You will also assist in managing their direct business unit - a team of 3. This role does not involve any sales or prospecting - it is purely administrative, at a high level.

The Position

  • As the first point of contact for the Agent’s current and potential vendors and buyers, solicitors, and the broader team, you will also be the central administration and contact hub for this results driven team.
  • Management of the Agent’s diary including scheduling and confirming all appointments
  • Preparing properties to go to market including organising quotes and styling
  • Assisting sales agents during the listing process, organising all open packs ready for inspections
  • Facilitating communication with solicitors during the sales process
  • Liaising with the marketing team to ensure all campaigns, listings and communications are managed in a timely manner
  • Setting up listing, appraisal and marketing appointments
  • Preparing correspondence for offers/acceptance and exchanges

The Person

  • You will be exposed to a lot of high profile clients, so previous EA experience a must!
  • Be approachable and accessible, and possess excellent problem solving abilities
  • Have the ability to work at a very fast pace, juggle lots of activities simultaneously whilst keeping a cool head and completing your work to the highest of standards
  • Demonstrate high levels of initiative and be able to work autonomously with little direction
  • Have exceptional administration skills, a highly developed communication style and very strong computer literacy in MS Word, Excel, PowerPoint and Outlook
  • Proven influential and relationship management skills as you liaise with stakeholders daily
  • The ability to under promise and over deliver, ensuring you operate with integrity, honesty and competence
  • You will need a current driver's license and car
