Full Job Description
We are seeking an experienced Executive Administrator to join our organisation to support the Company Secretary in corporate governance duties for the National Trust of Australia (Queensland).

National Trust of Australia Queensland (NTAQ) is a membership-based community organisation and registered charity that works to protect, conserve and celebrate the Environmental, Built and Cultural heritage of our State, affiliated with the Australian and international National Trusts. The NTAQ collection of 12 properties includes the iconic Currumbin Wildlife Sanctuary, and the renowned Currumbin Wildlife Hospital.

Details about this Position:
The core responsibility of this Executive support role will be to support the Company Secretary with administrative duties directly and indirectly relating to Board administration and associated matters.

This interesting and varied role is based in the corporate offices at Currumbin Wildlife Sanctuary working within a friendly, supportive and motivated team. This is a part time role working 20 hours per week across 3-4 days (will include working each Thursday). You will require flexibility to attend Board meetings as per the meeting schedule, with some meetings per year being held in Brisbane or at Currumbin Wildlife Sanctuary.

Key Duties:
Your responsibilities will include:
Supporting the Chairperson, CEO and Company Secretary in preparation of draft agenda and meeting papers for monthly Board and Committee meetings and the AGM.
Attending Board and Committee meetings and taking the Minutes of the meeting.
Finalising any amendments to the Minutes and Board signatures.
Ensuring electronic copies of Board documents and policies are uploaded and accessible via the CatHerder portal.
Working in partnership with the Executive Assistant to provide other administrative or operational duties as may be required to support the Executive team and the organisation.
Assisting with projects and other department needs as required.
Non-smokers are preferred.

Selection Criteria:
At least 2 years' experience in a similar role supporting Senior Executives and working with Board matters.
High level of capability working with Microsoft Office Suite (Microsoft Word, Excel and Powerpoint).
Must be comfortable and capable to perform work duties using Zoom if required.
Have demonstrated experience and high standards relating to administration processes including preparation, printing and posting of Board papers and also using a digital portal.
You must be a team player; able to interact in a friendly, professional and courteous manner with internal and external stakeholders including Board Members.
Excellent written and oral communication and interpersonal skills.
Self-directed; with an ability to work calmly under pressure.
Well-developed organisational skills and proven ability to manage competing priorities and deadlines.
You will have a cooperative and collaborative manner and flexible approach to your work duties and ability to attend all scheduled Board meetings.
Must have current driver’s licence.
