Administration Accounts Office Coordinator

Maxim Building Services is a well-established business specialising in providing emergency home building repairs and services to speed recovery after major storm events. The company’s office is located at Burleigh Heads on the Gold Coast.

We are currently seeking a talented and flexible individual for a permanent role as Administration Accounts Office Co-Ordinator with 5 years experience in Reckon Accounts. The role would have a strong focus on Accounts, Data Entry and all Office Administration processes.

The successful candidate will be enthusiastic, friendly and customer focused. Attention to detail and the ability to coordinate multiple tasks in a busy office environment will be essential attributes. The role requires you to work as part of a team but also have the ability to work autonomously.

Key Responsibilities include;

  • Manage telephone system & enquiries
  • Extensive knowledge in Reckon Accounts of Accounts Receivables, Accounts Payable and General Ledger
  • Data Entry in Reckon Accounts & Database whilst maintaining high level of accuracy
  • Maintaining of job files
  • Preparation and maintaining of Customer Contract documentation
  • Be the link between the Sales and Construction team.
  • Debtor Collection
  • Prepare and maintain Contractor Packages and Trade Database
  • Maintain and manage Administration Inbox
  • Maintain and mange Dropbox job file images.
  • General Office duties – scanning, filing & printing of documents
  • Manage all office amenities including office supplies and equipment
  • Work positively in team-based environment

To be successful for this role you must have the following;

  • Previous administration experience working for a Building Company
  • Minimum 5 years experience with Reckon Accounts & Administration
  • A high level of previous accounts experience
  • Proficient in all Microsoft Office programs including Outlook, Word & Excel
  • Have sound knowledge of sales and marketing functions
  • Willing to learn in house job management Database
  • High level communication skills, both written and verbal.
  • High attention to detail, accuracy and the ability to coordinate multiple tasks in a busy office environment
  • Flexibility within the workplace.
  • High level of organisational skills
  • Professional attitude.
  • Strong customer focus and service orientation.
  • Excellent interpersonal skills.
  • Ability to work independently and within a team.
