About the Opportunity

CentacareCQ has an opportunity for a part-time Maintenance Support Officer to join its dedicated Community Services Team based in Bundaberg. The Maintenance Support Officer is responsible for providing administrative support to the home and yard maintenance team. 

This role will primarily focus on receiving, reviewing and placing orders for the use of contractors within the home and yard maintenance programs.

Objectives for this role include:

  • Reviewing work requests received by the Client Contact Team and checking eligibility (specifically for Home Assist Secure (HAS) program with client subsidy balance);
  • Placing orders (via purchase order) with existing and approved contractors;
  • Overseeing engagement of contractors for services not able to be provided by staff, ensuring budget allocations are not exceeded;
  • Receipting and confirming accuracy of invoices from the contractors once jobs are complete;
  • Recording completed work in the client information system against client files.

In addition to supporting the use of contractors, the role will receive complete job sheets for CentacareCQ staff and enter these into the client information system ensuring appropriate statistics are collected for each program.

The role will also be responsible for reviewing the home maintenance email account, ensuring requests for quotes and other documents are provided to the program coordinator in a timely manner.

 Duties include:

Booking Contractor Services

  • Review work requests and arrange eligible jobs with approved contractors;
  • Review invoices supplied by contractors, confirm completion of the job against purchase order and enter into system for payment;
  • Update client management system to record all required statistics against the client file to allow reporting and acquittal of program funds.

Email Correspondence

  • Oversee home maintenance inbox ensuring all external enquiries are responded to in a timely manner;
  • Provide all quote requests to the manager and ensure they are completed quickly;
  • Review received occupational therapist (OT) reports, contact clients and schedule worker to complete initial assessment and quote;
  • Resolve other enquiries and refer to manager if appropriate.

Internal and External Relationships:

  • Participate in and represent CentacareCQ at community activities and networking opportunities to build awareness of CentacareCQ services;
  • Ensure CentacareCQ is recognised as a reputable and credible provider of services through a practice of good service delivery, a safe working environment and being responsive to consumer feedback;
  • Maintain effective relationships with all key stakeholders.

Other Responsibilities

  • Participate in regular line management;
  • Undertake professional development;
  • Comply with CentacareCQ’s policies and procedures, as per the Quality System (including current Workplace Health and Safety legislation) and relevant legislation.
